HP LaserJet 3055
Its a black and white multifunction or AIO as they seem to call them nowadays, the All In One. It prints, copies, faxes and scans all in one little box. Handy for small businesses like mine who do a little bit of printing, a little bit of copying and scanning, but not enough to need to buy a separate machine for each.
The 3055 was very easy to set up. It only has a single cartridge to install, the once youve unwrapped all the tape, its just a matter of installing the driver and letting it discover the device. It discovered it over my small network in seconds and installed everything in a couple of minutes. The tools it installs offer quite a few printing options, you can also lighten or darken the ink, just in case the prints or copies come out pale.
The print quality is very good for most business documents. Images and graphs are well drawn, with straight lines and good shading in the colored areas. Photographs were a little less detailed, but then you expect that with a laser printer. I dont print photos so it made no difference to me whatsoever.
Text was strong, dark and precise which works for me, even using headlines. They came out the strongest and work well for my documentation business. Copying is equally as good and can keep up with the 18 page per minute print time.
Scanning and faxing I dont really use much. The scanner is a bit slow, but works well and the fax transmits quickly. Other than that I havent used them.
Overall, the LaserJet 3055 is a great little device for people like me who do a little but demand a lot. The print and copy quality is good, its pretty quick and the end result looks good. Its easy to use, cheap to run and simple to maintain, Im not sure what else you would want from an office machine.

HP DeskJet D2530
One distinct feature of this printer is that is comes with a 2.0 connectivity USB which works pretty fast. The story of its success lies in its versatility and the diversity of its function. It can print on a variety of different sizes and types of papers generating prints on large sized panoramas sized at 8.5 x 30 inches, small borderless 4 x 6 inch photos and so forth. Papers which are supported by the HP DeskJet D2530 are inclusive of letter paper, legal paper, A2 sized papers and executive cards. At an affordable rate, a brand new HP DeskJet D2530 is offered with a one year warranty.
The HP DeskJet D2530 has an impressive printing speed while printing both monochrome and color prints and photos. It is capable of printing sixteen monochrome or colored pages in one minute while the start up and delay between pages is minimum as well. Speed for black and white prints can also be further enhanced if the printer’s functioning is aided by a manual developer. This developer increases monochrome printing speeds up to eight pages per minute. Other features in the HP DeskJet D2530 include a large input tray which has a capacity to hold eight printing sheets, a special envelope media tray which can adequately hold ten envelopes and more.
A feature unique to this printer is the internet application known as the HP smart web printing. This feature allows users to gather, save, join and print material from numerous different websites while working at the printer. Its connectivity is fast and it works well while integrating, organizing and retrieving material stored in its memory. The HP DeskJet D2530 comes with a HP 60 color tri cartridge which works for one hundred and sixty five pages and once this has finished there are many varieties of cartridges in the market compatible with it.
Canon MF6540 Review
The Canon MF6540 printer has the ability to handle standard paper from 17 to 24 lbs in thickness. This is using the standard paper tray. When media paper is needed the multipurpose tray can handle 15 to 35 lbs. Most media will fit adequately in the multipurpose tray, but it cannot handle card stock. The output tray will hold up to 100 sheets of paper before it starts to be an issue. The standard paper tray will hold up to 100 sheets, and the larger paper tray can hold a ream of paper which equals 500 sheets of paper.
The MF6540 comes equipped with a 2 in 1 function, which will automatically print, scan and copy double sided information. This function makes handling two sided paper easy and permits the user to cut down on the expense of paper costs by almost half. When you use the printer’s 2 in 1 copy utility you can save more money on paper.
The digital copy process allows you to manage two pages of scanned information, shrink it to 50% and print both pages on one sheet of paper. The opposite also holds true. You can take one page of information balloon it up and fit it onto two sheets of paper. The MF6540 allows you to zoom in up to 50% and zoom out up to 200%.

Samsung ML 1740
The first thing you notice about it is the fact that it’s small. It only takes up 14 square inches of desk space, which is ideal for a home office. There is a 250 paper tray at the front, and a single sheet feeder for those odd shaped prints. There is also a rear output slot for card stock and other stiffer print media. This is a nice touch, because as the footprint of this device is quite small, the bend to the print drum is quite tight.
Setting up is a simple affair, the toner cartridge and drum are together and slot in the front, the connections are at the back and the drivers are quick and self installing. The only downside is that the USB port is only 1.1 speed, instead of the seemingly standard USB 2.0. Paper loads easily into the drawer and all moving parts seem to work without catching, rubbing or otherwise making any noise at all.
Print quality is good. The standard 600 dpi produces text that is crisp and black. Images and diagrams are equally well drawn, with grayscale showing minimal banding and good, even coverage. At 13 pages per minute, it isn’t the fastest printer in the world, but it is still plenty quick enough to be suitable for most workgroups.
With the ML-1740, what you see is what you get. There are no upgrade options, no expandable memory, or optional paper drawers. This is it. It is ideal for single users or offices that don’t print much, but other than that it’s utility is limited.
It comes with a starter toner which lasts for approximately 1000 pages, replacements can go for 3000 pages and cost around $38, which is pretty reasonable for laser toner. As the cartridge and toner are one unit, there is no extra expense of replacing drums every 20000 pages like most other laser printers. This saves a bit of money over the lifetime of the device.
The main advantage of the ML-1740 is its relative low cost. Purchase price is reasonable, and there are no drum replacements to consider. So over a lifetime, the cost per page should be very economical.

Dell 3115cn
Despite looking quite ungainly the 3115cn is a good quality printer that works right out of the box. It is cheaper than its main rival, the Xerox Phaser 6180MFP and quicker too. Seeing as we are talking about speed, let’s get some facts.
The 3115cn prints text documents at a rate of 24 pages per minute, color or monochrome. Graphics are also printed at a respectable 5.4 pages per minute. This is faster than almost all the other printers in this price point, and a definite selling point to buyers.
The standard paper tray can hold 250 sheets, while the multi-purpose drawer can add a further 150. The automatic document feeder for the scanner holds 50 sheets too. The LCD screen is simple and often quite uninformative, but the menu is easy to navigate and the instructions quite intuitive. Once configured, there is no real reason to use the screen so it doesn’t really matter.
Being a network enabled device, the 3115cn can be added to a workgroup or network with ease. The built in Ethernet and print server provides a web interface where day to day administration can be carried out where necessary. There are some advanced features in the administration menu that we liked the look of. One was the ability to restrict color printing to certain users. This can save a significant amount of money for companies that print a lot. You can elect to either only push monochrome drivers to client computers or restrict color printing by password.
The drawers are solid and easy to use. The largest one exposing the machine itself, which is necessary to add or change the toner. While we’re on the subject, standard black toner will produce up to 5000 pages, where the colors can do 4000. Like the toners for all Dell products, they are competitively priced and work well. They are also relatively easy to fit and remove.
The 3115cn is fully PCL and Postscript compliant. Text documents were printed quicker with the Postscript driver and images come out quicker with the PCL drivers. Test reproduction is crisp and clear, with larger images having an even spread across. Graphics aren’t so good, but are still respectable enough for most implementations.
The Dell 3115cn is a workhorse printer. It is designed and built to produce standard business documentation steadily and reliably throughout the day. The prints are good quality and the scanning is quick and accurate. An ideal device for most offices.

Samsung CLX 6240FX
OVERVIEW: For 2-sided color printing, faxing, copying and scanning in a networked office environment, it’s the Samsung CLX-6240FX. A full-house, all-in-one color laser printer that not only offers faxing, scans, copies, printing, but also direct USB flash drive printing, duplexing and network connectivity.
PROS:
The husky, 82-pound CLX-6240FX has a height of 26”, with compact, square features that allow for placement without additional space. Sitting on a sturdy, low table, the height and size of the CLX-6240FX is just right for someone standing next to it to manually use the on-screen display for making copies or to fax using the speed-dial or address book features on its panel.
If you like buttons over a touch-screen display, you’ll get your wish with the CLX. All print, copy, and faxing can be performed without the need for a computer. The control panel on the CLX-6240FX provides functions for the copier, scanner, and fax including a programmable phone book list and 15 one-touch buttons for 30-speed dial numbers. To save on color toner, the “Black Start” button allows printing in B&W. A pass-through external phone jack on the back of the printer allows for plugging a telephone or an answering machine.
A USB port is on the printer that allows printing any image (TIFF, BMP, JPEG, PDF, PRN files) from a USB Flash drive. Information stored in the CLX-6240FX memory can also be backed up and restored using a USB Flash drive. The CLX also allows you to delete, format, or list properties of your USB drive.
A 50-sheet automatic document feeder can handle the copying, scanning, and faxing of your 2-sided originals, be they in color or in Black and White. On the front, a 100-sheet multi-purpose paper flip-tray handles papers and envelopes of various weights and types.
The CLX-6240FX can print up to 30 ppm on single-side paper, 21 ipm in duplex mode. 2400 x 600 dpi resolution with single-pass color printing allows color printing to be as fast as in B&W mode. Manual color registration adjustments can be performed to correct some minor alignment issues the printer has.
Having built-in Ethernet network support and a hi-speed USB, this multifunction is right at home either in the middle of an office floor or connected to a secretary’s computer. The built-in 256MB of printer memory enables the CLX-6240FX to easily handle workloads as a network printer. To reduce workload on the printer’s RAM, print jobs can be queued into the built-in 80GB hard disk drive.
Understanding the printing needs of today’s businesses, Samsung has installed print emulators that should satisfy the most diverse office. Emulators include PostScript3 as well as HP PCL6. If you ever had to do try to print Adobe graphics on a color printer without PostScript, the “ghost” images that appear from transparency and drop shadow effects can drive you nuts.
CONS:
It takes 80 seconds for the CLX-6240FX to warm-up, with 19 second delays between print jobs. Fortunately this Samsung series has single-pass color printing, keeping total job times reasonable. In operation, the 4-in-1 produces 54dB of sound and 32dB when idle. Think of 54dB as the sound of low conversations and 30 decibels as a quiet room.
For this to be the top of Samsungs CLX-6000 series, Samsung skimped a little on the cassette tray. A 250-sheet paper tray is woefully undersized for where this printer is likely to be used. It’s typical for even a small office to go through a ream of paper in a single day. If your office or department is going to depend heavily on this printer, it would be a good idea to buy the 500-sheet second tray.
Colors can be oversaturated and show a slight misalignment. The in maximum resolution, color prints on the CLX-6240FX won’t be as sharp as with the higher resolution monochrome lasers.
Software support is weak for Mac OS; having to rely on Mac’s OS or 3rd party software for scanning functions and advanced printing features.
For desktop publishing of color 8½ “x 11” booklets or catalogs, it would be nice if the printer could support 11” x 17” ledger-sized paper.
INK / TONER NEEDS:
Just like with color inkjet printers, when it comes to color laser printers, print yield is sacrificed for color printing. The CLX-6240FX requires 4 toner cartridges—one for each of the CYMK colors.
Out of the box Samsung includes the standard 2,500-page yield black cartridge, and three 2,000-page yield color cartridges, one for each color (Cyan, Yellow, Magenta).
The cartridges can be purchased separately, especially if the black toner gets depleted at a higher rate than the other colors. High-yield combo-packages are available to save costs at 60% more capacity.
Other consumables you’ll need to consider purchasing are waste toner containers, and replacement of the Paper Transfer Belt every 50,000 pages.
SOFTWARE:
Being a multi-purpose printer, one would expect the software to provide all the functions across multiple computer platforms. The software in the CD-ROM is primarily for Windows compatible machines. For Windows users, the SmartThru software provides the most features, supporting not only scanning and printing, but offering an advanced printing section that allows for booklet printing, creating a large poster mosaics, and watermarks.
The Linux software package is not included with the CD and has to be downloaded from Samsung’s website to support printer and scanning functions. The Linux Unified Driver Configurator software allows for scanned images to manipulated and edited.
For Macintosh users, the CD-ROM has a couple of basic drivers for printing and a TWAIN driver for scanning. There is no additional software support: you either must have a 3rd party application that manages scanners or use the Mac’s own Image Capture (only available on Mac OS 10.4.7 and higher).
To remotely change network printer configurations and notifications, Samsung’s SyncThru Web service allows printer changes to be made using your IE, Safari, or Firefox browser. The software is not part of the CD and has to be downloaded from Samsung’s web site.
A firmware update had been released on 9/15/9 Samsung recommends to be installed in the printer.
Xerox DocuColor 250 Color 3 in 1
PROS:
The first thing that grabs your attention on the DocuColor 250 is the prominently positioned blue control panel. The touch screen User Interface (UI) gives easy access to popular functions, with additional menus for all of the DocuColor’s features. A traditional 10-keypad is provided along with the buttons most users are used to using with copiers.
One of the nice features of this multifunction is it can multitask. A person can scan or copy directly on the DocuColor while print jobs are being performed via the network. Even if it’s printing, you can still program the 250 to scan ahead without having to wait.
The DocuColor 250 prints at speeds up to 50 pages per minute in color, 65 single-sided pages per minute in black-and-white. Having one of the highest resolutions at 2,400 x 2,400, it gives you professional high-image quality and clarity. The polymerized toner helps enhance definition and sharpness. An Enhanced Gloss mode allows you to adjust the amount of glossiness on the print.
The duplexing Automatic Document Feeder (ADF) can handle the copying and scanning of your 2-sided originals, be they in color or in B&W. With a 250-sheet capacity, it handles about twice the amount of other ADFs. Sensors allow the multi-function to determine document sizes.
The DocuColor 250 comes with two 500-sheet cassette trays, an 870-sheet and a 1,140-sheet tandem tray that supports papers from 8½ “x 11” up to 11” x 17”. When one tray is empty the DocuColor 250 will automatically switch to a tray containing the same size and type paper. A 250-sheet multi-purpose bypass tray handles various paper weights and sizes up to 13” x 19”.
The 250 comes standard with a built-in auto-sensing network card that can support up to gigabit Ethernet speeds. The expandable 256MB of memory and an 80GB hard drive enables this DocuColor to handle any size print request and to securely save jobs to the hard drive.
Color copies up to 13” x 19” can be made directly on the glass platen, or using the Automatic Document Feeder (ADF). The duplexing ability of the ADF allows for making copies from 2-sided originals without having to manually flip the papers. Zoom ranges from 25% to 400% with a choice of 1% increments, automatic resizing, or in ten jumps. Resolution and print speeds are spec’d at 2,400 x 2,400 dpi and by scanning one time and storing the images to memory allows for copying speeds of 65 ppm. You can choose if copies are to be collated or stacked into the offset catch tray.
Scanned documents can be exported as 600 x 600 PDF files and sent to a network directory, e-mail, or on the internal hard drive.
Two optional Finishers can give the DocuColor series full publishing features including staple, multi-hole punch, Z, C, and V-folding and binding for catalogs and magazines. The DocuColor is able to interface with 3rd party peripherals such as magnetic strip readers (for ID cards) and coin machines, to expand its functions beyond the workplace to universities and self-serve copy stores.
CONS:
In spite of Xerox’s claims, you don’t want to just plop anybody in front of this unit without some training. As a support engineer, I found the most downtime for machines of this size comes when untrained people start “using” them. Since most buyers of DocuColors and WorkCentres will want to establish passwords and user accounts for auditing and security, the end-user will need to be taught the basics (like what their password is). With a 1-hour training and “lab”, I‘ve been able to get the most technophobic people productive on these office machines. Here’s where an hour of prevention is worth days of non-productivity.
Normally multifunction printers have identical resolutions for scan and copy functions, often with the scanning resolutions being higher. While it’s not a big issue, it is interesting that the DocuColor 250 is only spec’d to have a 600 x 600 dpi resolution in scan mode.
INK / TONER NEEDS:
The DocuColor uses Xerox’s Emulsion Aggregate toner, a resin-like ink for sharper imaging and less color bleeding. Prints that use polymerized toners like EA tend to have a nice glossy look and a waxy feel to them.
Dual black cartridges allow for easy changing of the highest consumed item without stopping the printer. Each black toner provides 5% coverage on 30,000 pages, and the three colors 34,000 pages each. Just remember that if you’re doing full-color spread layouts and photograph prints, the actual toner usage per page is going to be at least 10 times more, reducing the number of pages you can get out of a cartridge.
The toner can be purchased separately, especially if the yellow toner gets consumed the most. To save on costs, toner combo-packages are also available.
Other consumables to consider are replacement of the imaging units (drums) every 65,000 prints (the black drum every 150,000), the fuser and transfer roller after 160,000 prints, and the waste toner bottle after 50,000 prints.

Brother HL 2170w
The Brother HL-2170w laser jet printer has an output of up to 23 pages per minute and that’s a respectable speed, given our busy schedule it looked ideal. It is not just the speed that sets it apart but also the printing results. The print driver offers 2400 x 600 dpi resolution and a crystal clear reproduction either text or image. It’s not difficult to print flyers or accounts alike, with great resolution and crisp results. We often make black and white posters for products, and the Brother HL-2170w is perfect for our small marketing campaigns and office.
The best aspect of the Brother HL-2170w is its wireless connectivity. Most of our office work is done on laptops and we have a totally wireless network. The printer fits well into our working environment without any extra bits. We used the installation kit and it took two minutes to enable the sending of print jobs from our notebooks.
My workers and I prefer an energy efficient and environmentally friendly working environment, and the Brother HL-2170w is perfect in this regard. The printer is Energy Star compliant and also has a toner save mode. While admittedly we are more interested in lowering costs than our emissions, it does help.
Even when printing text heavy documents I have been able to print 23 pages in a minute. Despite printing mainly text, I wasn’t above giving the printer a good run to see what it could do. I was thoroughly impressed with the results and there were no issues with print quality. Even images came out well, and we all know lasers sometimes have problems with those.
The Brother HL-2170w comes with a starter toner cartridge, one-year limited warranty, detailed instructions and a setup guide. I will recommend Brother HL-2170w to other businesses, especially those that cannot afford expensive color printers and don’t want to compromise on quality. The Brother HL-2170w is a great addition to the office, and well worth the cost.

Sharp AL 1551CS Duplex All in One Printer
In the Beginning, Sharp created the AL-1530CS, and it was good. Next, an auto-feeder was attached and the AL-1530CS became the AL-1540CS, and that was good. Then Sharp decided to create from the 1540CS a machine that could print on both sides. It was called the AL-1551CS and it was very, very good.
PROS:
The 53 pound all-in-one copier has a footprint 20.4” x 18.8”. The size is a little large to put on a desk but will feel right at home on any credenza.
The AL-1551CS uses a stationary 10” x 14” platen for scanning instead of a sliding platform to keep its footprint no bigger than its physical size.
Sharp claims the unit has no warm-up time--copying can start immediately after the power is switched on. With a maximum resolution of 600 x 600 dpi, the AL-1551CS can produce up to 99 copies at only 40dB. Scanning the original once and storing the image to memory allows the AL-1551CS to make copies at the rate of 15 pages per minute. The Automatic Document Feeder (or ADF) can hold up to 30 legal-size 1-sided originals. The user can change magnifications from 50% up to 200%, and manually or automatically adjust exposure settings.
One of the “gotchas” for 2-sided copying is the originals in the ADF must be single-sided. One option rather than burning through paper making the originals 1-sided is if the originals are in electronic form to use the printer capabilities of the AL-1551CS to print them from a computer as 2-sided duplicates.
The sliding paper tray can hold up to 250 sheets of either letter (8½” x 11”) or legal (8½” x 14”) size paper. Non-standard sizes up to 10” x 14” can be placed singly on the scan platform. A 50-sheet multi-purpose flip-tray is on the side of the machine for making copies on transparencies, cardstock, or other specialized paper.
Using either Parallel or the USB 1.1 connection, the AL-1551CS can be connected to a computer to double as a modest laser printer. In a small office, the Sharp can be set up to be a shared printer, provided the computer it’s connected to remains on during the hours the printer would get used. When connected to a computer, the AL-1551CS can scan color images with resolutions up to 600 x 1,200 dpi.
CONS:
The design of the AL series is primarily based to focus on copier features. During its prime, a 15 ppm copy speed was impressive for a small copier. In printer mode, the touted 12 ppm speed can only be achieved at lowest resolution (but that’s the caveat for any printer specs). Don’t expect the faster print speeds of 20 ppm that’s typical of current B&W laser printers.
The 250-sheet paper tray is woefully undersized for office copy use. It’s typical for even a small office to go through a ream of paper in a single day. And it’s also common for offices buy paper in 500-sheet reams, if not a 10-ream case. For all you office folk out there: How many times have you taken a ream of paper from the supply cabinet to fill an empty printer, only to find the printer’s tray only has the capacity to hold half that amount? Now, next question: what usually happens to the rest of that ream? By the end of the day you’ll see the remaining ream somewhere near the printer, sheets pulled haphazardly by people who needed just a couple of blank sheets. By the time the printer needs to be refilled again, the state of that paper is now so uneven and disheveled it’s likely to jam in the printer. For personal and home use, a 250-sheet tray is sufficient, so long as you’re not someone whose home is their office. Having a tray that you can dump an entire ream of paper into would be something any office would invest a few more dollars for.
INK / TONER NEEDS:
The AL-1551CS has separate toner and drum to help reduce overall consumables costs. Sharp offers a choice for toner: the standard-size toner (4,000 pages at 5%), or the High-yield (6,000 pages) unit. The drum unit will need to be replaced ever 18, 000 pages.
During the course of changing toner, people often forget to keep track when it’s time to change the drum. Combo-packages are available that offer the drum with several toners. By the time the toners are consumed, the remaining drum is replaced. These combo-packages make maintenance easy and increases overall longevity and print quality.
SOFTWARE:
Included is Sharp’s desktop document management software. The software does a decent job in giving you control of the unit’s various printing and scanning functions.
Unfortunately, the software is only for Wintel machines. Apple machines running OS 10.3 and above may be able to use the printing and scanning functions native to OS X or through 3rd party applications, like Photoshop.

Canon NP 7130
The Canon NP7130’s efficiency also lies in its simplicity. Unlike many other units it has zero start up time. The Canon NP 7130 comes with a built in rapid fusing system that allows you to plug it in and start making copies that very instant, whereas for digital units the warm up time could go up to five minutes.
This Canon NP7130 makes use of analog technology and as a result has the advantage of being low maintenance and less costly to run. It can be argued that analog technology is ‘old’ technology, but it does not compromise on the quality and reliability that this allows. The main difference between analog technology and digital technology is with no digital memory of data and images the feature of print to many options is not available. However, flexibility in terms of features is there as it allows you to reduce and enlarge from 70% to 141% to meet your varied needs be it copying onto a legal sized or specialty sized paper. It is easy to control these image sizes because of the four pre determined reduction and enlargement ratios.
Apart from this, the Canon NP7130 is a sturdy machine that allows you to copy up to 13 pages per minute, and has a monthly duty cycle of 7,500 total impressions. Its specifications are 13” x 19-1/8″ x 17-5/8″ and it has a weight of about 49 pounds which is heavy but then again it is not meant to be carried around everywhere.
In addition to this, it has a toner yield of 5,000 images which is fairly decent and its estimated drum yield is a large 3000 impressions and this saves the hassle of replacing the toner repeatedly. In addition to this, it makes use of laser printing technology and produces copies of outstanding quality.

Canon LaserClass 9000 9000S 9000MS
This fax machine can also adequately perform printing and scanning tasks thus is often called a multipurpose system, however it is primarily built and known for its faxing features and abilities.
Maximization of transmission speeds and minimum delay between scanning and transmitting documents is the main aim of the Canon LaserClass 9000/9000S/9000MS. It has been designed with a super G3 fax modem which means that it can fax one page in three seconds and this speed is further increased when use of the fast on-line transmission is made. Since it is built for tasks both small and large, it has back up battery life of up to twelve hours and has a large database for storage of documents. It can store a standard of eight pages on its own but this memory can be increased or expanded to five hundred and ninety pages with memory upgrades.
One of the most important features of a fax machines is the dial pad and speed dialing options. The Canon LaserClass 9000/9000S/9000MS has been built with an LCD which displays all your contacts in an organized manner making the numbers and names easy to locate, access and use. Furthermore, the unit shows a total of seventy two speed dials which can be activated by a single touch and an additional one hundred and twenty eight more coded speed dials can be installed in to the fax machine’s phone books, thus increasing the speed dialing capacity to a total of two hundred numbers. This machine’s toner cartridge is also very low-usage, which means that it proves very economical over the long run.
The Canon LaserClass 9000/9000S/9000MS offers its users an additional dual line. This dual line allows better navigation of heavy faxing traffic which often needs to be dealt with in large offices. The dual line opens doors to a number of faxing possibilities. It allows the transmission of one fax to two separate destinations, permits several faxes to come in simultaneously and also allows the flexibility of an outgoing fax and an incoming fax to be processed at the same time.
This device is the ultimate fax. Reasonably sized, priced but fully featured and powerful enough to cope with anything.

Brother HL 2700CN
With color lasers becoming cheaper by the month, they are becoming more and more popular is smaller offices and homes. The HL-2700CN is such a printer. It would have cost four times as much a year ago, but is now affordable enough that home users could enjoy color laser printing.
The controls are simple but effective. They are intuitive enough to be able to service most needs and the helpful LCD screen is easy to read. The paper drawer is surprisingly modest at 250 sheets, but it upgradeable to 530 if needed. The only thing this printer lacks is a single sheet feeder for special media.
Out of the box, the HL-2700CN is quick and easy to install and configure. The toners are supplied already fitted but have to be removed in order to take off the plastic covers. Even though you have to remove them, it is still much easier than having them packed separately. Once unpacked the printer can be connected via USB, parallel or Ethernet. The drivers are straightforward, as is the supplied software package. It contains most features a small office would need to print a variety of documents and images.
There is also a guided help program included which includes a flash based troubleshooting guide. This is remarkably helpful in isolating faults if something goes wrong, and is a valuable addition to the features already included.
Monochrome reproduction is good, with text appearing clean and fresh. Business images looked a bit on the bright side, which is actually good for presentations or handouts. Photographic reproduction isn’t so good though, with none of the subtleness a photo needs. With a print speed of 31 pages per minute for monochrome and 8 pages for color, it is a quick mover for such an affordable machine.
Overall, the HL-2700CN is a good, value for money office device with a rich enough featureset to satisfy most office needs. It’s strength is its versatility and cost effectiveness. Replacement consumables are readily available and good value, while robust enough to last the test of time.

Canon Copier ImageClass MF6550
I bought mine online and was relieved to see that it was well packaged. There was enough material in their to get it to me safely even when using the postal service. Setting it up was easy. Unpack it, insert the toner, add some paper to the tray and plug it in. You can use it as a standalone or connect it to a PC or network. I used the USB method and connected it to my PC. There are only two of us and the PCs are already networked so I didn’t want to mess with that.
The copying and printing is a real joy. Simple and effective to set up and a joy to behold once the finished article arrives. I use the MF6550 a lot for printing marketing manuals for staff, which include graphs or images and this printer will render perfectly accurate hard copies until it either runs out of paper or toner. It will happily do the same for copying too.
Talking of toners, it ships with the usual half toner which I stretched to around 1000 sheets. Replacements are available from Quickshiptoner.com for $49 and will cover 5000. It only takes a couple of minutes to change over. The Canon toners are all in one, meaning there is no separate drum or anything to change. Not only does this make maintenance easier, it also saves you having to buy a separate drum.
The copier does what most copiers do, resize, produce multiple copies and utilize the automatic document feeder. There are options on the MF6550 that I have only seen on more expensive machines, like automatic paper sizing, frame erasing, automatic duplex printing, scanning to pdf and other useful things.
The fax takes a little setting up, it doesn’t just work out of the box, but Canon kindly dedicated 39 pages of the user manual to it, which gets it running eventually.
The MF6550 is a good home office device. It does everything you would expect, and most things better. The software is good, the user manual understandable by a normal person and is hasn’t broken down yet.

Lexmark X560
The X560 is a color laser printer, copier, scanner and fax housed in a fairly tall body, especially if you opt for the duplexer. It is a good base model to begin with, but can be upgraded to the X560dn model which adds an automatic duplexer. There is also the option to increase the memory to a massive 1408Mb and paper handing to a total of 800 sheets.
The build quality is what you would expect from Lexmark. The chassis feels solid and strong, the buttons firms and direct, the LCD screen bright and informative and the overall footprint quite small considering the features.
The X560 produces great text, prints and copies. Even small point text was clear and sharp, normal sized and extra large produced clean edges and no blur or banding. Text prints are output at a rate of 30 pages per minute for mono and 20 pages per minute for color. Image quality was pretty good at the standard 600 dpi with nice details. The grayscale conversion of a color photograph was accurate and instantly understandable. Color prints or color images looked surprisingly exact, no artifacts or blank spots to be seen anywhere.
Scanning is also of a good quality, with good performance including the scanning of image heavy documents. The fax is the same, good but unremarkable as few of us actually use them anymore. It passed all our fax tests with flying colors though. It is a standard G3 and can send a page every 3 seconds. It has the usual phone books, storage, speed dials and integration options of its rivals allowing it to keep up with the competition.
The control panel is clear and well laid out, with each element having its own buttons. The small LCD screen is basic but adequate for most needs, and the controls are easily understandable enough to be able to speed through them in no time at all.
Standard mono toners will last 8000 pages and are competitively priced with their rivals. The color ones are much the same, offering a 6000 page coverage and only costing $10 more.
The X560 is a solid multifunction printer, scanner, copier and fax that can cope with most things, but has the option to improve or upgrade. The availability of consumables also adds to the attractiveness of the X560.
Dell M5200n
The M5200n produces high quality black text, and it performs pretty well on narrow parallel lines, it even manages to print sufficient gray scale pictures, which is not that easy for monochrome lasers. Pictures printed from Dell M5200n are pretty attractive and you can easily make a photo album by printing pictures from this printer. It has a built in Ethernet and a paper tray that can fit 500 sheets at the same time, it also has a 100 sheet supplementary tray. This will make your office work easy as two separate trays will allow you to keep plain paper and the company’s letter head both loaded.
The control panel of the Dell M5200n has an LCD, and the buttons are properly labeled. Dot printing days are gone as today’s companies use laser printers, and the Dell M5200n laser printer gives perfect results, printing fast which saves time. This printer can print up to 35 ppm (page per minute) and the total media capacity of this printer is 600 sheets. Operating the M5200n is not that difficult, but still if at any point you feel like you are lost and confused, the on screen documentation will guide you through.
The Dell Toner Management System constantly monitors toner levels and quickly notifies you before you run out. The M5200n also offers easy setup and installation through USB and 10/100 BaseT Ethernet ports. Installation process of this printer is very easy and you can save your confidential data in the printer’s memory and use it when you need it later on. The Dell M5200n comes with a driver that has the great feature of account tracking capabilities.
Dell M5200n is a perfect machine for home usage, you can print your college assignments without wasting any time, and you can print photos of your friends and family. Photos printed on this printer are very good quality. Printing is smooth and you do not have to put up with the loud and irritating noise that you get from other printers, especially ink jet printers. M5200n has been tested and used by large scale businesses and they recommend this printer for its reliability and print quality as well.

What is Document management system DMS
A document management system (DMS) is a computer system (or set of computer programs) used to track and store electronic documents and/or images of paper documents.
From the very beginnings of modern office work, the workflow of data management has been an
important subject. Right from the beginning, office work included the production as well as the administration and distribution of documents. Different technologies were used for these purposes. In the past, the typewriter was the most important device for the preparation of documents. For the storage of documents, various conventional systems came to existence which supported the storage, the locating and the distribution of documents with the help of cardcatalogues or folders. Since the seventies, the distribution of documents was supported by modern photocopying processes. This document distribution process was mostly used in connection with manual file systems, and competed with the modern information technologies based on EDP (Electronic Document Processing) when these were introduced the first time.
Beginning in the 1980s, a number of vendors began developing systems to manage paper-based documents. These systems managed paper documents, which included not only printed and published documents, but also photos, prints, etc.
Later, a second system was developed, to manage electronic documents, i.e., all those documents, or files, created on computers, and often stored on local user file systems. The earliest electronic document management (EDM) systems were either developed to manage proprietary file types, or a limited number of file formats. Many of these systems were later referred to as document imaging systems, because the main capabilities were capture, storage, indexing and retrieval of image file formats. These systems enabled an organization to capture faxes and forms, save copies of the documents as images, and store the image files in the repository for security and quick retrieval (retrieval was possible because the system handled the extraction of the text from the document as it was captured, and the text indexer provided text retrieval capabilities).
The traditional storage of documents had a lot of disadvantages compared to electronic archiving - above all, the large expenditure of time, material, and personnel for the organization and maintenance of the manual process. In addition to the enormous space required for the storage, conventional file systems are also regarded as relatively unreliable concerning the locating of documents. Documents have to be copied and stored repeatedly since they are usually passed on to different places, e.g. to the different departments of an enterprise. In these time-consuming distribution channels, documents were lost easily, filed in a wrong way or they simply fell into oblivion. Sometimes, even different versions of a document existed because its older version had not been replaced by the new one.
